The jobs

Four jobs, and what actually happened on them.

Every one of these started with a conversation about a normal week. Somebody walked us through where it kept going wrong, and the thing costing them the most turned out to be the thing they had stopped noticing.

Mechanical contracting

A plan set nobody had three days to read

A plan set landed for pricing. 560 sheets of it, a bid date that was not moving, and the one person who could say which pages actually governed the work booked solid for the week. Reading it by hand is three days. The system read the set, pulled the seventeen sheets that mattered, counted the pipe run by run, and priced the package the same day.

It came in at roughly half the budget the package had been carrying.

Records and storage

A different filing system every year, all of it now one library

Every machine was full. The workstation, the laptops, the cloud account catching every phone backup and every download somebody meant to sort out later. A new way of filing it each year, stacked on top of the last one, and nobody willing to throw any of it away in case it turned out to matter. We read all of it, found what was already there twice, and put the rest where a person can find it by name.

Financial literacy

A game cut out by hand, playing on every phone in the room

A friend of the organization had it all on paper. A tabletop game about money, cut out by hand, one table at a time. We took the idea, understood the vision behind it, and built the digital game. He had not pictured it that way, and did not think it could be done in the time it took.

It is built for adults as much as for anybody. Young people were the test group, and we sat in the room while they played, fixing it on the spot between rounds. They joined from their own phones with a code, and the money in it adds up to the cent, checked against the real math.

Community programs

A program that ran out of one person’s phone

A real roster, real payroll, and a start date that was not moving. All of it lived in one person’s phone and a spreadsheet nobody else could open, so every question went through them and stopped on the days they were out. It runs off one board now: who is on it, what is due this week, and what is sitting waiting on somebody.

These are our own jobs and the figures are the ones in the file. Clients are described by the kind of work they do, never by name. Who we build for is theirs to tell people, not ours.

On the day

We are in the room on the day it runs.

Programs and events get built on paper, and the same people who wrote the plan are standing in the room while it runs. Everything works on paper. The day is where you find out what you actually built.
